Records and Information Management for State Employees: Online Tutorials

Pile of IARA online training slidesThe IARA Records and Information Management Division has developed the following online tutorials for state employees, available in the SPD Learning Center in SuccessFactors, and also viewable right here on the IARA website for reference, review, or presenting to groups!

State Employee Learning Center

To take these courses for credit in the State Employee Learning Center in SuccessFactors:

  1. Log in to SuccessFactors.
  2. Click the dropdown menu button on the top-left that says "Home" and choose "Learning."
  3. In the "Find Learning" box, type "IARA" then click Go.
  4. IARA's current course offerings will be displayed, and you can choose any of the listed courses to take or review!

The first three courses should be viewed in the order listed below the first time you watch them, because each one references concepts explained in the previous tutorial.

  1. Records (and Information) Management Basics (ELRN SOI_IARA_000001): How and why we manage public records in state government, and how IARA can help.

    Required for Agency Records Coordinators and for all new state employees as of January 2019. (New employees are enrolled by Indiana State Personnel as part of the Employee Onboarding process.) Strongly suggested for any employee who hasn't already taken it during Onboarding.

  2. Reading and Understanding Records Retention Schedules (ELRN SOI_IARA_000002): What a Retention Schedule is, what it looks like, and how to apply it.

    Required for Agency Records Coordinators, useful for any state employee.

  3. Creating and Updating Records Retention Schedules (ELRN SOI_IARA_000003): A guide to the process of working with IARA to make sure your agency Retention Schedule is current and accurate, and how to update it when that's not the case.

    Required for Agency Records Coordinators and mostly geared toward them, but also useful for agency and division directors or any employee who may be asked to assist in an update project.

For most state employees, courses 1, 2, and 4 (everything except Creating and Updating Records Retention Schedules) will cover the general information you need to know about managing records in your agency, and they can be accessed from the web at any time, without leaving the comfort of your desk.

Our goal is to provide additional tutorials on more specific topics in the future, developed by our staff specialists in each area. As those become available, we'll be sure to inform you about new learning opportunities!

State Agency Records Coordinators are also welcome to contact State Records Management to discuss agency-specific in-person training for themselves and for other agency staff.
