County/Local Records and Information Management: Disposition Year Chart

A quick reference for use with your records retention schedule, the chart below calculates disposition years for the most common (but not all possible) retention periods found on County/Local records retention schedules.

IC 5-15-5.1-14
"A public official or agency may not mutilate, destroy, sell, loan, or otherwise dispose of any government record, except under a record retention schedule or with the written consent of the [Archives and Records] administration."

Instructions:

  1. In the left column, find the year in which your records were created.
  2. In the top row, find the retention period for your records, based on what is listed in the appropriate county/local records retention schedule.
  3. At the spot where the two cross, a year will be listed; your records will be eligible for disposition on or after January 1 of that year.
  4. Check your  records retention schedule to see whether the disposition listed is
    • DESTROY 
      or
    • TRANSFER to the Indiana Archives 

      and follow it accordingly.
